Purpose
Provide efficient, proactive, professional and confidential corporate support to Council and Committees of Council; administrative assistance to the Shire President, Deputy President and Elected Members / Councillors.

In liaison with the Senior Executive Assistant, ensure the administrative requirements of the President, Deputy President and Elected Members are integrated with the operational activities of the Office of the Chief Executive Officer.
Duties and responsibilities
Corporate Support
? In collaboration with Governance and the Senior Executive Assistant, coordinate the compilation, preparation, and distribution of agendas and minutes for meetings of Council and Committees of Council to ensure timely and legislatively compliant requirements are met.
? Prepare the Council Chambers for Committee meetings and other meetings or civic ceremonies as requested.
Executive Assistant to the Shire President
? Provide a research, reporting, and coordination function for the Shire President.
? Develop and maintain a network of contacts including government agencies (local, state and federal), key stakeholders, commercial organisations, and private bodies.
? Coordinate Shire President?s diary and travel arrangements.
? Draft and edit correspondence (of a non-political nature) and other written materials.
? Liaise with the Communications Coordinator regarding briefing notes, speeches, media requirements, website updates and external communications.
? Serve as the primary point of contact for Council members, facilitating communication between the Administration, Executive and Council.
Administration and Record Keeping
? Provide administrative support as required, including:
- Preparation and typing of correspondence and approvals and general word processing.
- Facilitate public notice requirements.
- Ensure corporate documents comply with approved style guide.
- Collect data and compile documents for reports, projects, and information requests.
? Compile, verify and accurately record relevant documents, notices, applications, correspondences, and other information generated from relevant activities within the records management system in a timely manner.
? Maintain various manuals, registers, and other official records to ensure compliance with organisational standards and legislative requirements.
Elected Member Support
? Provide professional and confidential administrative support to the Shire President, Deputy Shire President and the Council as required, including:
- Manage diaries, coordinate travel arrangements and reimbursement claims.
- Distribute documentation to the Elected Members.
- Assist with the coordination of elected member training and development.
? Effectively liaise with Councillors, staff members, community members and stakeholder regarding council matters.
? Liaise between the Shire President, Chief Executive Officer and other Executive Assistants to ensure key Shire administrative tasks are completed.

? Respond to internal and external customer enquiries re

Experience and qualifications
Essential
? Sound knowledge of the provisions of the Local Government Act 1995 and associated Regulations or experience in a similar role including exposure to other legislation, regulations or policies.
? Highly developed time management, prioritisation and organisation skills.
? Demonstrated ability to autonomously manage and deliver discreet projects and assist in the management and delivery of projects.
? Highly developed written, word processing and verbal communication skills.
? High level interpersonal and public relations skills.
? Sound research and analytical skills.
? Ability to display strong self-management and initiative.
? A positive approach.
? Strong demonstrated ability to observe protocol and confidentiality requirements.
? Advanced computer application and word processing skills.
Desirable
? Previous local government experience.
